01The Matching Process

ViaPsych is a matching and coordination platform. You submit a request describing what you are looking for, and our team reviews your information to identify licensed psychologists from our network whose services align with your preferences, location, and availability.

We then share details about potential matches, including training, fee range, and availability. You review this information and decide whether you would like to proceed. If you choose to move forward, you pay the ViaPsych coordination fee. A psychologist then contacts you directly to schedule your appointment.

From that point, your services are entirely between you and your psychologist. ViaPsych’s role is limited to facilitating the connection.

No. ViaPsych does not require a referral from a GP, family doctor, or any other healthcare provider. You can submit a request directly at any time without any prior clinical contact.

Our team reviews requests as they come in. Once your request is received, we begin identifying potential matches promptly. Matching timelines depend on the type of service you are looking for and clinician availability, but our goal is to confirm your match as quickly as possible.

Once you confirm your match and payment is received, your psychologist contacts you directly to schedule. Appointment availability is set by your clinician independently of ViaPsych.

We will share each psychologist’s preliminary details including their training, fee range, and availability. You review this information before committing to anything.

If you would like to proceed, you pay the ViaPsych coordination fee to confirm. If you decide not to proceed, you owe nothing. Once payment is confirmed, your psychologist contacts you directly to discuss their clinical fee and schedule your appointment.

All clinical care, billing, and communication from this point forward is directly between you and your psychologist. ViaPsych is not involved in any aspect of the clinical services.

You are not obligated to proceed with any match. We share each psychologist’s preliminary details before any payment is required. If you choose not to proceed, you owe nothing at that stage.

Once you have confirmed a match and paid the ViaPsych coordination fee, that fee is non-refundable.

ViaPsych coordinates both in-person and virtual services. Your location preferences are captured in your request and inform the matching process. If an in-person option is important to you, note this in your request and we will do our best to identify an appropriate clinician.

ViaPsych currently serves clients across Ontario.

02Services

ViaPsych matches clients for two core services: diagnostic psychological assessments and 90-minute clinical consultations.

Assessment types include Comprehensive Psychological Assessments, Neuropsychological Assessments, Psychoeducational Assessments, Diagnostic Assessments for Autism, ADHD, and Mental Health, Cognitive and Memory Assessments, Functional Capacity Assessments, Independent Medical Evaluations, and Brief and Focused Diagnostic Consultations.

Clinical consultations are suitable for second opinions, diagnostic clarification, treatment planning guidance, psychoeducation, and couples or relationship concerns.

ViaPsych serves clients of all ages including children, adolescents, adults, and older adults. Services are currently available to clients across Ontario.

No. ViaPsych does not provide or coordinate therapy, ongoing treatment, or any form of continuing clinical care. Our coordination services are scoped to diagnostic assessments and 90-minute clinical consultations.

If you are seeking ongoing therapy, your matched psychologist may be able to discuss options directly with you following your assessment or consultation.

03Fees and Insurance

ViaPsych charges a coordination fee that varies by service type. The clinical fee is set by the psychologist and paid directly to them.

Consultation
$200 coordination fee + $400 clinical fee$200 plus tax to ViaPsych for coordination. $400 to your psychologist for the 90-minute consultation. Paid separately to each party.
Assessment
$300 coordination fee + clinical fee set by clinician$300 plus tax to ViaPsych for coordination. Clinical fee varies by clinician and is confirmed with you before scheduling. Paid separately to each party.

The ViaPsych coordination fee is not a referral fee, is not shared with clinicians, and is not eligible for insurance reimbursement. It is non-refundable once a match has been confirmed and is subject to applicable taxes.

The ViaPsych coordination fee is charged after we share your match’s preliminary details and you decide you would like to proceed. You are not charged anything when you submit your request. You are not charged if you choose not to proceed with a match.

Once you confirm your match and the fee is paid, it is non-refundable.

Clinical fees paid directly to your psychologist may be eligible for reimbursement through extended health benefit plans that cover psychological services. Your psychologist will provide a receipt for clinical services.

The ViaPsych coordination fee is not eligible for insurance reimbursement. We recommend confirming your coverage limits and eligible providers with your insurer before booking.

The ViaPsych coordination fee covers the coordination service: reviewing your request, identifying potential matches, and facilitating the connection process. This fee is paid to ViaPsych and is not shared with your clinician in any way.

The clinical fee covers the psychological service provided by your psychologist. This fee is paid directly to your psychologist and is entirely separate from ViaPsych’s operations. ViaPsych does not receive any portion of clinical fees.

04Privacy and Information

Information you provide through the ViaPsych matching form is used solely for the purpose of identifying and coordinating your match with a licensed psychologist. We do not sell your information or share it with third parties outside of this coordination process.

ViaPsych’s privacy practices are governed by PIPEDA and applicable Ontario privacy legislation. See our Privacy Policy for full details.

No. ViaPsych does not receive, store, or have any access to clinical records, assessment reports, or any information generated during your clinical appointments. All clinical records are managed directly by your psychologist in accordance with their professional and regulatory obligations.

Yes. To facilitate the connection, ViaPsych shares relevant information from your request with a psychologist in our network. This is limited to what is necessary to confirm availability and initiate contact.

By submitting your request, you consent to this limited information sharing for the purpose of coordination.

01Joining the Network

ViaPsych works with registered psychologists in good standing with their provincial regulatory college. To be eligible, you must hold active registration with the College of Psychologists of Ontario (CPO) and provide services within your areas of practice.

We work with psychologists at all career stages, including those in supervised practice where appropriate. Clinics may join on behalf of their team, or individual clinicians may join directly.

No. There is no fee to join the ViaPsych network at this time. ViaPsych charges clients a coordination fee. Clinicians are not charged for receiving client inquiries or for participating in the network.

When you submit a clinician application, our team reviews your information to confirm registration and better understand your areas of practice and availability. If there is a potential fit, we will contact you to arrange a brief onboarding conversation.

This conversation helps us understand your services, availability preferences, and the types of client inquiries that align with your practice.

Submission of an application does not guarantee inclusion in the network.

02Connections and Matching

Matching is based on the information provided in each request. We coordinate connections using your declared areas of practice, availability, and the details shared by the individual.

ViaPsych may contact one or more clinicians to confirm availability and facilitate a timely connection.

Yes. When you are contacted about a potential client connection, you have one business day to confirm your availability. You are not obligated to accept any connection.

If you are not available or choose not to proceed, ViaPsych may contact other clinicians to support a timely connection.

Yes. Once the client has reviewed your preliminary details and confirmed they would like to proceed, they pay the ViaPsych coordination fee. You are then notified and contact the client directly to confirm details and schedule their appointment.

ViaPsych’s coordination role ends at the point of connection. All clinical communication, scheduling, and care is your responsibility from that point forward.

03Fees and Payments

ViaPsych charges clients a coordination fee separately from your clinical fees. You are not charged by ViaPsych. Your clinical revenue goes entirely to you.

Consultation
Clinical fee: $400 paid to you by the clientViaPsych charges clients $200 plus tax separately for coordination. You keep the full $400 clinical fee.
Assessment
Clinical fee: set by you, confirmed with the clientViaPsych charges clients $300 plus tax separately for coordination. Your fee is agreed directly with the client.

ViaPsych does not receive any portion of clinical fees and does not provide or receive rebates, commissions, or benefits by reason of match coordination. Clinical services are provided independently by licensed psychologists who set and collect their own fees. The ViaPsych coordination fee is a separate coordination fee only and is not shared with clinicians.

You are. Clinical fees are a matter between you and your client, the same as any other private practice arrangement. ViaPsych is not involved in clinical billing, invoicing, or fee disputes. We recommend confirming your payment policy clearly with clients before any appointment is scheduled.
